Step by step

  1. Open “Nachrichten” (messages) in the menu on the left.

The account menu with “Nachrichten” highlighted.
  2. At the top, filter by “Offen” (open), “Team gefragt” (team needed) or “Erledigt” (done). Next to it you can search by name, number or text.

The filter bar with “Alle”, “Offen”, “Team gefragt” and “Erledigt”, highlighted, with the search field next to it.
  3. Next to each name you see where the conversation comes from: “WhatsApp” or “Telegram”.

The list of conversations; two are highlighted – one labelled “WhatsApp”, one labelled “Telegram” next to the name.
  4. “Team gefragt” means the conversation is waiting for your team and the assistant no longer writes there. You also get an email “Übergabe angefordert” (handover requested) with a button that opens the conversation.

The “Team gefragt” filter is selected and highlighted, with the matching conversations below.
  5. Tap a conversation to see the whole history – from the customer, the assistant and your team.

An open conversation: the customer's question, the AI assistant's reply and the note about the handover to the team, highlighted.
  6. On Telegram, the customer's @name appears below their name instead of a phone number – the number only if they share it themselves. On Telegram you can reply at any time.

The header of a Telegram conversation: “Elif Yılmaz”, the “Telegram” label and “@elif_ylmz · Deutsch”, highlighted.
  7. Write your reply in the field at the bottom and tap send – or press Ctrl + Enter (⌘ + Enter on a Mac). Above the field you see until when WhatsApp allows it: up to 24 hours after the customer's last message.

The reply field with a written answer, the note “Antworten per WhatsApp bis … möglich” (replies possible until …) above it, and the send button, highlighted.
  8. Under “Wer antwortet?” (who answers), tap “Selbst übernehmen” (take over) – this also works for “Team gefragt”. The assistant then stays quiet until you tap “An Assistenten zurückgeben” (hand back to the assistant).

The “Wer antwortet?” panel with the buttons “Selbst übernehmen” and “An Assistenten zurückgeben” highlighted.
  9. When everything is settled, tap “Als erledigt markieren” (mark as done).

The “Erledigt?” panel with the “Als erledigt markieren” button highlighted.
